Job Description

  • Provide support to administration manager and central management team in carrying out day to day admin activities.
  • Assist Head CoE in operations and administrative tasks
  • Maintain quality house keeping services at all locations.
  • Manage the travel activities.
  • To manage supply of goods and services to all locations and offices as per the requirement.
  • To ensure accounting policies and management reporting policies are adhered for all above functions.
  • Effect timely payment as per contract for all above.
  • Manage overall fulfillment requirements of MGS.
  • Handle MIS/data for all above.

Duties and Responsibilities

  • Market survey and awareness of rates from existing and new hotels, Negotiate and obtain negative competitive rates with various hotels.
  • Skillful Negotiation with related suppliers.
  • Provide timely supplies to all groups /divisions.
  • Coordinate with groups /divisions on travel related issues.
  • Maintain petty cash for the department.
  • Coordination with finance to ensure all payments are made in timely manner
  • "Timely supply of grocery
  • Arrange all newspaper and magazines to the office.
  • Ensure proper Hygienic services are available.
  • Timely supply and maintain plants.
  • Timely despatch of welcome kits and laptops for new joiners.
  • Coordination with courier companies
  • Inventory management of all equipment and IT peripherals
  • Manage hospitality to all MGS guests/consultants /new joiners.
  • Hotel Reservation request.
  • Business cards and all bank printing materials (letter heads, envelops…)
  • Name plate & rubber stamps.
  • Purchase of gift items and vouchers.
  • Overseas travel requests and refunds.
  • Plant request and maintenance of plants.
  • Arrangement of events: Conferences, meeting, social events, External training.

Job Requirements

  • Graduate with a minimum of 1-2 years experience in Administration function.
  • Excellent command over spoken and written English.
  • Computer literate – should have good knowledge of MS Office package.
  • To have Excellent Communication and Negotiation Skills to get along with the staff (s) at all levels and various outside Vendors.
  • Good control over Office Administration.
